Description and Scope of Work:

The Box Office Administrator (BOA) must be self-motivated, well organized and proactive in performing and updating box office procedures and operations. The BOA is responsible for patron communications and relations, which requires an employee that is approachable, well presented, and able to establish good working relationships with a wide range of people. The BOA is expected to be highly competent, motivated and enthusiastic with experience as a team member in a fast-paced office environment. The BOA must be proficient in customer relations and provide patrons with a positive experience by communicating accurate information in a congenial manner. The BOA reports directly to the Executive Director. This is a non-exempt position based on thirty (30) hours weekly.

Job Functions:

  • Responsible for Ticket Sales (Season Packages and Individual Tickets).
  • Responsible for Box Office and Internal Communications.
  • Organization and maintenance of filing system of confidential information.
  • Provide efficient and professional administrative support to management.
  • Provide general secretarial/administrative support.
  • Responsible for donor and patron communications and correspondence.
  • Responsible for answering/screening telephone calls and face-to-face inquiries providing superior customer service to clientele whether in person, over the phone or online.
  • Support the monitoring of office supplies and ordering, when necessary.
  • Accurately operate the ticketing system for events.
  • Provide patrons and visitors information regarding events and venues.
  • Support marketing and promotional projects, e.g., assist in preparing playbills, phone calls and mailings when necessary.
  • Support the implementation of ideas to enhance the Mid-Texas Symphony patron experience.
  • Maintain patron records and a source of communications that integrates with the ticketing system.
  • Assist with annual mail-outs and bulk mailings.
  • Manage on-site Box Office for Mid-Texas Symphony concerts.
  • Attend staff meetings, when required.
  • Serve as the point person for all volunteer matters or direct to the correct area/person.
  • Responsible for processing background checks.
  • Process and document all volunteer information
  • Ensure all volunteer information is updated.
  • Plan any volunteer appreciation events.
  • Meet with Hospitality Chairman to ensure hospitality needs are being met.
  • Responsible for informing and communicating all Usher responsibilities for each show.
  • Responsible for scheduling volunteers for all areas, which includes both front of house and back of house. Consult with Department heads when necessary.
  • Create volunteer signup opportunities for all shows.
  • Send reminder emails to volunteers
  • Keep track of all volunteer hours on a monthly basis.
  • Other duties as assigned.

Skills & Requirements:

  • High school diploma or equivalent
  • Self-starter and able to work unsupervised
  • Excellent problem-solving skills
  • Experience with customer service or sales environment required
  • MS Office Suite, QuickBooks, and Adobe
  • Experience with ticketing software preferred

Office Hours- This position will work at the Mid-Texas Symphony offices in Seguin, Texas. The hours are 9:00 a.m. to 3:30 p.m.

Compensation- Competitive hourly rate. 5 days paid time off.
