The CYC manager works closely with the CYC Artistic Director and is responsible for overseeing and executing all administrative aspects of the Conspirare Youth Choirs as outlined below. This role serves as front-line for Conspirare staff, artists, parents, vendors, and other constituents. The CYC Manager also serves as liaison to Conspirare and communicates CYC events and information to Conspirare colleagues. The CYC Manager follows policies and procedures with contracts and prioritizes many competing responsibilities on a daily basis. This person works closely with the Director of Operations and Business Manager in fulfilling the duties of this role.

Position Duties: Artistic Administration -Concerts/Performances/Community Events • Serves as production coordinator for all performances, assisting with all levels of concert prep and execution • Supervise singers, assist director as needed • Assist with set-up and clean-up • Coordinate with front of house staff, assist backstage as needed • Coordinate with venues for rehearsals, performances, auditions, contracts, etc. • If a tour is taken, the Administrator should coordinate all CYC effort either personally or via a travel agent -Scheduling • Set Master Schedule in collaboration with CYC Artistic Director/Conspirare staff • Master Schedule should include, but is not limited to: o Rehearsal (and dress rehearsal) dates, locations, and times o Auditions o Dates when tuition payments are due o Recruiting Tour dates and locations o Publicity deadlines (radio/print ads) o Program deadlines o Brochure printing deadlines o Fundraising dates o CYC Tour Dates when applicable -Rehearsals • Attend all Monday evening CYC rehearsals and other rehearsals as scheduled • Duties include, but are not limited to: o Set-up/clean-up facilities o Record attendance o Distribute any materials as needed o Coordinate parent volunteers when applicable

-Music Ordering • Initiate and record purchases for music octavos • Verify accurate merchandise count upon arrival and submit invoice to bookkeeper for payment

Financial Management and Record Keeping -Financial Transactions/Recordkeeping CYC manager will work with Business manager to accomplish the following goals: • Maintain a spreadsheet of all choir participants to include: o Name of parent(s)/guardian(s), address, name of child participant, tuition amount, and any other necessary information such as discounts, enrollment status, etc. • Enter all Accounts Receivable invoices for tuition into the accounting software at the beginning of the fiscal year and update as needed • Enter monthly payments into accounting software (both electronic and physical deposits) for tuition, advertising, and DVD purchases, etc. • Run monthly reports to verify that payments are being made on a regular basis • Track payment status and follow up with parents to ensure that parents catch up • Determine payment calendar and report with Business Manager -CYC Annual Budget • To be created in collaboration with CYC Musical Director for inclusion in the Conspirare annual budget • To be submitted to Business Manager at specified date

Communication -Manage Emails • Maintain an accurate email list for CYC families • Send out weekly e-newsletters on the Wednesday following a Monday rehearsal/coordinate with CYC rehearsal assistant to update the CYC Weebly • Update CYC website using WordPress

-Parent Handbook • Update and print Parent Handbook for distribution and Parent Meeting to be held at the beginning of the fall semester

Marketing/PR • Establish and maintain a database for email blasts for widespread distribution • Market concerts and all CYC events • Maintain CYC Facebook page • Maintain CYC merchandise orders and manage sales • Build relationships with board members and donors • Contribute to Conspirare publications as requested • Write press releases • Manage printed program including creating roster and making & processing ad sales

Fundraising • Coordinate any CYC fundraising projects • Ensure that singer deposits and fundraising orders are accurate • Verify accurate fundraising merchandise count upon arrival • Distribute fundraising materials to singers • Submit invoice to Business Manager for payment • Issue complimentary tickets to singers prior to the concert, when applicable Schedule Monday evenings throughout the CYC rehearsal/performance season, 4-7 p.m. This position averages 10-15 hours weekly with additional hours required on performance weeks, and attends the weekly office staff meeting on Tuesdays at 10:30 a.m. Office hours will be set in conjunction with the Artistic Director. During summer and December: office hours as listed with observed holidays

Education/Skills Required: • Bachelor’s degree required • Strong interpersonal skills with adults and children, including good customer service skills (in person and on the phone) • Working knowledge of Microsoft Office Suite, with intermediate knowledge of Excel • Well organized and detail oriented • Must be able to work under pressure and meet deadlines, prioritize and manage multiple tasks • Experience with databases preferred • Knowledge of music and choral repertoire a plus • Willingness to adapt to new ideas, methods, and systems

This is a part-time position averaging 15-20 hours weekly, with additional hours during performance cycles. Hourly rate is $20.
