Do you have a deep, abiding love for television, interest in the inner-workings of event planning, rarefied organizational skills — or all three? ATX is looking to welcome a new member to our small but mighty festival family in January 2018. As Executive Assistant / Office Manager, you will manage the day-to-day operations of ATX HQ, provide year-round support as we prepare for the festival, and act as assistant to our two Executive Directors.

Job responsibilities include, but are not limited to…
Executive Assistant Duties:
– Direct Report to Executive Directors & Director of Operations
– Managing calendar/schedule for Executive Directors
– Setting meetings/appointments as needed
– Maintaining databases & tracking spreadsheets
– Updating festival website, ATVXP.com, and online festival guide
– Directing and delegating tasks to interns
– Copy Editing (website, official festival documents, operations guide, press releases/announcements, newsletter, badgeholder communications, etc.)
– Research (both festival and office-related)
– Weekly check-in meeting with ATX Team

Office Manager Duties:
– Answer phones
– Respond to general attendee inquiries and emails
– Checking mail daily & distributing to staff and tenants
– Maintaining a clean & orderly office, i.e. making sure that trash & recycling go out on time, running dishwasher, storage & organization, etc.
– Managing office utilities (internet, phones, electronics) and maintenance (A/C, plumbing, air filters)
– Tracking supplies, snacks, and other office inventory
– General Office Hours: M-F, 9am-5pm (seasonal shifts will occur)

Festival Duties:
– Overseeing festival app updates (with help of interns)
– Coordinating pick-up/drop-off of festival materials to and from office
– Maintaining and updating festival hard drives and archives
– Manage merch order tracking & shipping
– Other duties as assigned

Qualifications:
– Bachelor’s Degree or 1 – 2 years of experience in a similar position is preferred
– Ideal candidate will have previously attended ATX or have extensive knowledge of the festival
– Demonstrates strong verbal and written communication skills, including phone and email etiquette, as well as excellent organizational and time management skills with the ability to multitask
– Fluent in Google Work Applications, including Google Docs and Sheets
– Ability to work nights and weekends around events and key festival deadlines
– A love of television required!
