SUMMARY
Houston Arts Alliance is seeking a professional to manage central organizational projects out of the Executive Office, including a wide range of logistical and analytical tasks, and to provide administrative leadership to all areas of the organization. This position will also manage special and start up projects in partnership with the CEO and other department directors as needed.

RESPONSIBILITIES
-Manage and improve processes and operations of the Board of Directors and various Board Committees, including creation of meeting minutes and HAA’s adherence to and improvement of the corporate bylaws

-Manage Board and CEO calendars and meeting logistics, including meeting preparation and any follow-up after meetings

-Conduct research and analysis on high priority process improvement, such as communications, administration, HR policies, and other critical operating systems

-Prepare draft correspondence and other written materials with persuasion and clarity

-Manage content updates to HAA’s websites and social media pages, in alignment with the organization wide approach to communications

-Provide coordination and support for external vendors that cross divisions

-Act as a liaison between staff and HAA’s IT provider to assist with technology failures and optimization

-Provide on-boarding support and training for new employees regarding organizational or cross-divisional practice and needs

-Manage basic office functions such as funneling visitors and phone calls to the proper team, empowering teams to manage themselves, ensuring basic supplies are available, and coordinating mail

-Support HAA’s success in cross-divisional initiatives, with particular focus on administrative and operational excellence

-Other duties as assigned

DESIRED QUALIFICATIONS
HAA is seeking a candidate with some combination of the following qualifications.

-Proven work experience in operations, household or corporate management, or similar or comparable experience or roles as determined by the applicant

-A willingness to think creatively, improve what is in front of you, and question established practice

-Ability to prioritize projects, meet deadlines, anticipate issues or obstacles, and support others in doing the same in a fast-paced environment, often autonomously

-Excellent written and oral communication skills, including the ability to make complex issues understandable and relevant to varied audiences

-Ability to build successful professional relationships with a broad range of stakeholders including staff, board members, and other diverse communities

-Passion for providing outstanding service to diverse stakeholders

-Capacity and willingness to work in a highly collaborative, flexible, and dynamic work environment

-Ability to recognize when immediate action is required when solving problems and when sufficient information has been obtained to make a decision

-Experience exercising discretion and confidentiality in regard to sensitive information

-Experience with Adobe Creative Suite, Microsoft Office products, and Squarespace

PHYSICAL DEMANDS
-Use of routine office equipment

-Ability to lift file boxes up to 30 pounds

-Set up and break down for workshops and meetings
