FotoFest is seeking a contract Volunteer Coordinator. The Volunteer Coordinator will be responsible for managing FotoFest volunteers and a
limited number of special projects. The Volunteer Coordinator is the primary liaison to the FotoFest volunteer corps. The position also performs
multifaceted general office support and reports to the Associate Curator of FotoFest.

The Volunteer Coordinator will work closely with the staff of FotoFest, particularly the Office Manager, Auction Manager, and Exhibitions
Manager, supporting the achievement of FotoFest’s goals and mission. The Volunteer Coordinator is required to maintain a flexible schedule
during the Biennial, sometimes working many consecutive days during late February, March and early April. Weekend work on both Saturdays and
Sundays is required, and is absolutely necessary March 7 – 29, 2020.


Volunteer and Intern Programs
Coordinates volunteer and intern needs with FotoFest staff. This includes all special events such as the 2020 Fine Print Auction, receptions,
talks, etc. as well as public hours for the exhibition spaces.
Develops a Volunteer Manual for the FotoFest Biennial 2020, AFRICAN COSMOLOGIES—Photography, Time, and the Other.
Develops and implements outreach for volunteers and interns in coordination with organizational and individual staff needs.
Coordinates and maintains volunteer schedules throughout the Biennial.
Initiates and coordinates recruitment and appreciation events for volunteers and interns.
Maintains and manages communication with FotoFest volunteers, building relationships and cultivating the volunteer base through personal contact
and social media.
Maintains records of contracts and communication related to volunteers and special projects.
Creates Biennial Volunteer reports.
Performs multifaceted general office and administrative support.
Prepares correspondence (using word processing, mail merge, and spreadsheet software).
Other duties as assigned or necessary.
FotoFest Contact Database and Mailing Systems
Inputs new data from guest books and other sources.
Coordinates with staff on maintenance of volunteer contact and email lists.


Strong administrative, inter-personal, and communication skills.
Strong organizational, clerical and word processing skills: Outlook, Microsoft Word including mail merge, Excel, Adobe Acrobat.
Other software used: Constant Contact, design and send mass emails to volunteers; Signup.com, an online volunteer scheduling program; Facebook.
Strong spelling, grammar and writing skills.
Basic financial management skills.
Ability to meet deadlines and provide fast turnaround when necessary.
Ability to manage multiple tasks simultaneously.

B.A. preferred
1+ years administrative experience preferred


Visual arts background and/or experience with photography
