Job Title: Manager of Artistic Planning

FLSA Status: Full Time
Shift/Hours/Days: Monday – Friday, Some nights and weekends

Job Summary:
The Manager of Artistic Planning works with the Executive Director and Music Director to manage the administration and planning of all concerts of the San Antonio Symphony

Job Duties & Responsibilities:

Artistic Planning:
• Research and recommend talent for future symphony programming
• Negotiate fees and create contracts as assigned by Executive Director
• Work closely with Music Director and act as spokesperson for the Music Director as assigned
• Edit, update and manage Music Director’s calendar as needed
• Manage artistic files, contracts and riders as needed
• Assist with preparation of materials for season planning and artistic liaison committee
• Communicate final programs, rehearsal orders and artist schedules
• Facilitate collection and distribution of rehearsal orders from conductors
• Liaise with venues to schedule concerts outside of the Tobin Center
• Manage archival recordings
• Assist with the proofreading of operations documents, marketing documents, education documents, and development documents as needed
• Manage visas as required to ensure artists are able to perform in the U.S.
• Facilitate the create of programs
• Manage the artist itineraries including air, ground transportation and lodging requirements
• Plan and administer concert production activities as needed

Concert Production:
• Plan and administer all concert production activities of the orchestra, including facility and equipment rental, staging requirements, and other logistical arrangements
• Coordinate activities with library, personnel and artistic staff
• Book necessary facilities

Fiscal Management:
• Prepare the Operations budget with the Stage/Operations Manager and Personnel Manager
• Manage guest artists payments
• Maintain appropriate cost controls. Code invoices, generate check requests, ensure payment of all guest artists and track artistic expenses.

General Duties:
• Ensure compliance with the Collective Bargaining Agreement through advance communication of these requirements with guest artists, conductors, and artist managers
• Handle confidential materials, organize effectively and work independently
• Other duties as assigned

Required Skills & Qualifications:
• BA in Music or Performing Arts Administration plus a minimum of 2 years’ experience in production with a symphony orchestra or performing arts organization.
• Knowledge of classical/orchestra repertoire
• Excellent administrative and desktop environment skills (Microsoft Office Word, Excel and Outlook)
• Strong time management skills and ability to manage several administrative projects simultaneously
• Ability to work independently in a group setting.
• Ability to work well under pressure and while demonstrating dedication, professionalism and diplomacy
• Exceptional organizational abilities and attention to detail. Ability to engage volunteer help for various projects of the Symphony.
