Title: Registrar

Reports to: Curator of Exhibitions and Collections

The basic responsibility of the Registrar is the organized care of the collections, both owned and borrowed, the maintenance of forms, maintenance of PastPerfect database, legal documents, files, inventory, transportation, reports and storage of the collection. The Registrar also assists with all exhibition installations and deinstallations as directed by the Curator of Exhibitions and Collections. The Registrar reports to the Curator of Exhibitions and Collections and must maintain excellent communication with the Curator on all projects and priorities and work well in a team environment.

1. To organize and maintain the Collections vaults, providing proper archival standards and safe storage for artwork, as well as maintaining a clean and organized environment.
2. To keep orderly forms, legal documents and files for the permanent collection including cataloging, inventory, condition reports, loan forms, insurance, schedules, card files, and digital and hard files.
3. Develop and maintain permanent record and retrieval system for the collection including acquisitions, de-accessions, works on loan, artists’ information, provenance, inventory numbering, donor file, location file, etc.
4. Oversee all packing, unpacking, shipping, insurance and storage of the collections. Pick up or deliver art in the museum van when necessary.
5. Assist the Curator in exhibition installations, including hanging art, preparing walls and pedestals and providing the Curator with proper hardware for installations.
6. Assist the Curator with development of departmental budget, public and private support and research on providing support for collections.
7. Responsible for the annual inventory of the permanent collection.
8. Other duties as assigned by the Curator and Executive Director.

1. Must hold exemplary organizational skills, and work with quality and efficiency.
2. Skills in Microsoft programs (Quark and Adobe Suite a plus).
3. Must demonstrate skill and knowledge of PastPerfect software.
4. Must be able to lift up to 50 pounds and drive the museum van.
5. Must be able to work overtime when needed as directed by the Curator.
6. Previous registrar and collections management experience preferred.
7. Bachelor’s degree required with a focus in art, art history or museum studies a plus.
